How to use the Workflow Builder
1. Navigate to the Builder
Go to Agents in the left-hand menu
Click New Agent in the top right corner
Choose:
Start from scratch: build a custom workflow
Choose a template: select a ready-made scenario like “Follow up applicant” or “Sales funnel”
2. Build a workflow from scratch
You’ll now see the visual flow builder to design your agent step by step.
Step 1: Select a Trigger
This defines when the agent should run. Examples:
New vacancy
New candidate
Time-based (e.g. daily)
Application stage changed
Manual trigger
Step 2: Add Functions
Drag and drop the desired actions into your workflow, such as:
Send email or WhatsApp
Create task
Scrape website
Update candidate status
Schedule appointment
You can add multiple steps, delays, and filters to define logic and timing.
Step 3: Add AI Instructions
At messaging steps, you can add AI prompts like:
“Write a friendly follow-up email if the candidate hasn’t replied within 3 days.”
The AI will generate personalized messages for you, automatically.
3. Use a Template
Want to start faster? Choose one of the ready-made templates. For example:
AI Sourcing Agent: finds and contacts candidates for a vacancy
Applicant Follow-up Agent: follows up after applications
Talentpool Engagement Agent: keeps your database active
You can fully customize each template to fit your workflow.
4. Activate the Agent
Happy with your setup?
Click Activate
The agent will now run automatically based on your defined schedule
You can pause, edit, or duplicate the agent at any time
Tips
Use filters to segment your flows (e.g. has phone number vs. doesn’t)
Test with manual triggers before going live
Combine multiple agents for a full sourcing-to-hire automation funnel
